Research on apologies, including work at Ohio State identifying their effective components, converges on a short recipe: acknowledge specifically what you did, take responsibility without qualifiers, convey that you understand the impact, offer repair, and change the behavior. The most powerful elements are the acknowledgment of responsibility and the offer to make it right.

The words that void an apology: if, as in sorry if you were offended, which disputes the injury; but, which introduces the counter-argument you actually wanted to make; and the passive mistakes were made, which apologizes on behalf of no one. Sorry you feel that way is not an apology at all; it relocates the problem to the other person's feelings.

Then comes the hard discipline: stop talking. Over-explaining converts an apology into a defense, and demanding immediate forgiveness converts it into a transaction. Say it clean, mean it, and let it land.

Name exactly what you did, say it was wrong, skip the word if, offer repair, then stop talking. I'm sorry you feel that way is an accusation wearing an apology costume.
